We're proud to share that SouthEast LeatherFest (Catherine Gross) hired Her Devious Designs to create their Event Management System.  This project creates a highly automated, yet highly customized system to meet the unique requirements of SELF.

               

The SELF Event Management System is a robust, full-featured website and database system that automates most of the event administration, while providing flexibility to grow and change over time. It also permits the distribution of assigned volunteer roles with controlled system access to perform their jobs, without compromising system security. Features include:

  • Automates the population of the public website for all Presenter Bios, Pictures & Workshop Descriptions by having invited Presenters enter all of their own information into secured forms, which then shows up on the website automatically.
  • Automates the sale and tracking of Vendor spaces
  • Automates the purchase of set Sponsorship packages and custom-designed Sponsorships online
  • Handles Attendee Registration and additional items (such as T-shirts) with ordering via a shopping cart and payment processing integration
  • Automates the population of Judges and Contestant information on the website
  • Provides secured Administrative roles for those who are in charge of limited areas Vendors, Presenters, Contests, Sponsors, etc., with key Super Administrators who have backend and financial access.
  • Provides online workshop scheduling that immediately updates the website with the latest room and time assignments
  • Tracks and maintains online user acceptance of Terms of Service, Photo Waivers, Liability Waivers and other event policies and legal forms
  • Provides a private Attendee area for information only available to registered event attendees, displaying only to  those who have already paid things like location, maps, dungeon rules, etc.
  • Database exports for all financials, check in lists, event program information, badges, schedules, etc., plus custom reporting and email lists by multiple groups
  • Flexible coupon functionality for free and discounted registration packages for Presenters, Titleholders, etc., with the ability to email them out
  • Volunteer signup online with potential to expand to include online scheduling.
  • Year-over-year tracking of Attendee data for reporting and analysis
